<p><strong>Duties and responsibilities of this position:</strong></p><p><br></p><p>You are responsible for driving the deliverables and outputs that relate to the support of the business and practice firm wide. You will work in the Corporate Affairs team in<strong> CPT</strong> reporting directly to the Corporate Affairs Team leader, to drive forward various activities, tasks and projects which support the firm’s business operations as well as the legal practice. These include the necessary administration of organisational change processes and of the firm’s critical information across locations; as well as regulatory compliance and the fulfilment of the firm’s ESG requirements.</p><p><br></p><p>As these activities and tasks are impossible to do on your own, you are required to leverage and work across and with other business services teams, who, along with you, must ensure that all your duties (activities, tasks and projects) are delivered at the level required in terms of the dictates of the practice and on deadline. The role requires the successful applicant to be available and able to work when required in terms of the dictates of the practice, and it is essential that the candidate has reliable transport and is able to attend to after-hour requests which could necessitate travel to and from office.</p><p><br></p><p>Your duties (activities, tasks and projects) are governed by various processes and responsibilities. This necessitates you to have strong computer, accuracy, and time management skills to ensure you and those with whom you work achieve what is required and at the standards expected. In other words, you are required to have the skills needed to be responsible for your own task scheduling and controls, and the various processes you put in place and deploy, be it on a daily, weekly or monthly basis to complete your tasks successfully, subject to the needs of the department / team as a whole, and the direction of your team leader. Your focus must be on effective delivery of the outputs required, in accordance with the changing needs of the business.</p><p><br></p><p>Your duties and responsibilities include the key business processes and functions set out hereunder. However, you agree and understand that your own role will develop, change and encompass other tasks and projects in accordance with the dictates of the practice, and what your department / team may be required to deliver to the business from time to time, or, on an ongoing basis.</p><p><br></p><p>Furthermore, your duties and responsibilities should not be seen in isolation as it is expected that each team member, whilst retaining responsibility for their core duties (activities, tasks and projects) are, at the same time, also fully accountable for the performance of the team, and the department as a whole. This means that you are required to proactively engage with, and provide meaningful support and give assistance to other team leaders / members whenever necessary and in consultation with your own team leader, to ensure that the duties (activities, tasks and projects) across teams are performed at the standard required in order to achieve the goals of the business and consistently maintain an external and internal client focus.</p><p><br></p><p>Your duties (activities, tasks and projects) will be measured in terms of:</p><p>time – constraints / deadlines</p><p>volume – amount accomplished</p><p>quality – fit for purpose</p><p>skill – competency, aptitude and know how</p><p>cost effectiveness – productivity / ROI / profitability</p><p>leverage – appropriate deployment / assignment of resources</p><p>focus and direction – appropriate prioritization, flexibility and determination of workflows</p><p><br></p><p><strong>Key business processes and functions:</strong></p><p><br></p><ul><li>Attending to administration tasks to accurately capture, check / validate, approve and maintain critical and important firm information for all of the firm’s locations, including adding, updating and deleting records, and any relating / other specific details across various systems; providing feedback on tasks; escalating matters arising, and reporting e.g. processing invoices for payment, administrative tasks pertaining to the firm’s ESG information, collating and maintaining ongoing up to date records of activities of operations teams, compiling and responsibility for continuous internal firm communications amongst others to recognise important events, monitoring expenses and allocations, liaising with operations teams and compiling all required budgets, compiling firm dates and assisting with all required minutes.</li></ul><p><br></p><ul><li>Ensuring the integrity of the firm’s information relating to various projects and firm initiatives such as ESG and compliance records; core business information; doing regular data audits to ensure data integrity (including consistency, accuracy and the quality) across various systems and across all of the firm’s locations e.g. website information, email groups, templates, personal information, alumni records; providing feedback on tasks; escalating matters arising, and reporting.</li></ul><p><br></p><ul><li>Connect with relevant parties to obtain accurate sensitive / confidential personal information, following up on outstanding details and distributing relevant information with appropriate levels of privacy and caution, e.g. birthdays, long service, personal information, providing feedback on tasks; escalating matters arising, and reporting.</li></ul><p><br></p><ul><li>Attending to various activities, tasks, and projects to drive important firm tasks and projects forward, including actively participating to ensure milestones are reached, following up with other teams / team members / leaders / staff to ensure tasks and projects progress, escalating matters arising and reporting.</li></ul><p><br></p><ul><li>Attending to or escalating queries and requests, as they arise, including helpdesk queries assigned, following up on unattended requests and providing client support services.</li></ul><p><br></p><p><strong>Skills and qualifications: </strong></p><p><br></p><ul><li>Completed Matric</li><li><strong>Degree / Diploma in business administration or a related field an added advantage</strong></li><li><strong>Minimum 10 years’ service experience in a deadline driven, professional /corporate environment</strong></li><li>Excellent command of the English language (reading and writing skills).</li><li>Demonstrable high-level knowledge of MS Word</li><li>Excellent knowledge of Excel and understanding of formulae</li><li>Demonstrable experience in exercising judgement and circumspection in the processing of confidential information and keeping confidences</li><li>Data integrity skills – demonstrable experience in working with data e.g. accuracy, completeness, and consistency</li><li>Audit and compliance experience recommended</li><li>Ability to work independently within area of responsibility</li><li>Willingness to provide regular feedback and keep others informed of status</li></ul><p><br></p><p><strong>ENS is committed to transformation and achieving equity in its workplaces.
